Meeting began at 7:40p
Introduced board members.
Reviewed agenda items.
Distributed sample newsletter for review, comment, input.
Mike announced new email addresses to be created IF
needed. All present provided a valid
email address to use for communications.
Mike to distribute
list to all board members.
All reviewed current FHHD Committee status. Kurt Klimkiewicz will maintain the Building
Committee for the present time. Sylvia Tillman to head the Merchandising to end
of 2003 (approx.) An inventory of
current FHHD logo merchandise is needed.
Dan & Christy Czarniecki will continue the Sign Rentals. Scott Smith has taken over as heading up District
Tent Rentals from the Cornea family.
Michelle Donaldson is stepping down as the FHHD Welcoming Committee.
Michelle has found her successor. Teresa to obtain name and phone
number for newsletter / resource list.
Mike suggested that all speak with neighbors to generate
interest in volunteering. Suggested
that we get one person from each street (rather than block) to deliver
newsletters, special event flyers, etc.
Teresa to add this
item to the newsletter.
Board meetings and district meetings were set up by all
present so that FHHD residents are aware of upcoming events and can plan for
them. Board meetings scheduled for
Thursday, October 9, 2003; Thursday, November 20, 2003 (if needed based on Home
Tour status); and Thursday, April 8, 2004.
All will be held at 7:30p and at the Assenmacher residence on Nona. The
Fall District Meeting was scheduled for Thursday, October 23, 2003 at 7:30p at
the First Baptist Church in Dearborn (corner of Beech and Nowlin). The Spring District Meeting has been scheduled
for Thursday, April 22, 2004 at 7:30p at the First Baptist Church in
Dearborn. Teresa to add dates to the newsletter.
Other district-wide events were also scheduled: Halloween
Walk / Pumpkin Carving Contest on Thursday, October 30, 2003 from 6:30p –
8:30p; Christmas Walk on Saturday, December 20, 2003 from 6:00p – 8:00p. Amy Jelso and family will host the Christmas
Walk if no one else volunteers. The
Home Tour is scheduled for Sunday, December 7, 2003 – times to be announced.
Mike will not be available to coordinate the district tent
at the Edison Street Sale on Saturday, June 7, 2003. Leon will also be out of town.
Teresa offered to assist Scott Smith if needed. Mike asked if the District should sell pop
again - - Scott to make this decision.
Mike suggested moving forward to get District signs made
and hung on the existing poles. Leon
offered to call City Hall and get the name of a contact at DPW to see if they
can help with a supplier / manufacturer reference. Mike to make
contact.
Amy suggested posting a list of volunteers needed for the
different committees in the District, then posting it in the newsletter to see
if more volunteers could be found. She
suggested letting the individuals make decisions for their committees then
presenting it to the Board for approval.
Teresa to add list
to newsletter; Mike to post list to website. Such committees include: Christmas Walk, Halloween Walk / Pumpkin
Carving Contest, District Signs, Landscaping Committee (include park AND
medians), Home Tour.
Teresa announced that Sylvia Tillman and Kathy Jennings
would chair the Home Tour in 2003. Teresa to get update about Tour
from Sylvia and/or Kathy for next board meeting.
All agreed that the Park Street Park was in need of a
clean up. Amy suggested putting it on
the volunteer list. Regular mowing
services were going to be hired out at $10 / week per Mike. Teresa to add this to the newsletter.
Mike will call Dan Alford (Treasurer) to alert him to this expense.
Ideas to improve attendances to the District meetings (in
Spring and Fall) were discussed. One
idea was to offer door prizes. Mike
suggested bringing cans of food and one ticket per can of food be given. Winners to be publicized in the
newsletter. Amy suggested trying this
tactic for the Fall meeting in October, and if it doesn’t increase attendance,
then try something else.
Amy suggested that attendees to the Spring and Fall
meetings introduce themselves like had done before. All agreed. Name badges
may be provided for the Fall meeting.
Mike discussed the use of surveys on the website. Suggested that we include one that explores
what events residents would like to see, what are we doing right / wrong, any
suggestions, etc. Suggestion was made
to keep it the surveys relatively short – about 15 – 20 questions each.
Mike suggested developing a volunteer call list for
newsletters. If residents would provide
their phone numbers and/or email addresses, we could then call them when we
need their help. Amy also suggested
looking into updating a district-wide phone directory. Mike will add this to the next survey to see if residents are
interested.
